How can I access Manager Self-Service on myUK?
Manager Self Service tab access is available for anyone who supervises another employee. Supervisory relationships between your position and other positions must exist in the SAP HR system to establish this access. If you do not have the Manager Self-Service tab, but currently supervise employees, updates to your position data may be necessary. Please check with your area business officer for assistance in reviewing position relationships, or contact the EAG HR Team at SAPHRSupport@uky.edu for assistance.
What Internet browser should I use for Manager Self-Service?
The myUK portal aggregates content from various systems and web applications, including third party software products. Since browser support varies across systems, we currently recommend Chrome or Internet Explorer 11 for the best user experience in the portal. If you experience problems, please report them to the IT Service Desk at 218-HELP (4357) or 218help@uky.edu.
How can I delegate time approvals to another manager while I am out of the office?
Supervisors can assign another supervisor as a delegate for completing their tasks (ex. approving working time and leave requests). To create a delegate, first access myUK.
Please choose the “Manager Self-Service” tab:
Supervisors can delegate access to their tasks time via the Work Overview Page link.
The Work Overview Page link opens the Universal Worklist. If a supervisor would like to delegate tasks to another supervisor, they can click the Show Filters icon, and choose Manage Substitution Rules:
The “Manage Substitution Rules” feature allows supervisors to create a “rule” that substitutes another supervisor for their tasks. Click the Create Rule button:
Enter the name of the designated supervisor as the substitute and click the Select button. The supervisor’s name should display in the Search box. Highlight the name and click Apply when finding the correct supervisor.
Choose the tasks to assign for the delegate from the dropdown. Supervisors may choose for the delegate to “Receive My Tasks” or “Fill in for Me”. Click the Next button:
Choose whether to enable the rule at once, on a specific date, or to turn the rule off when substitution time is over. Click Save:
The Manage Substitution Rules screen will now show the substitution rule created. When substitution is no longer necessary, supervisors can end the rule by clicking the Turn Off button. This allows the delegate to remain in the rule set for future use. Supervisors can also delete the substitution completely by clicking the Delete button:
IMPORTANT: When the delegate accesses the Universal Worklist/Manage Substitution Rules, he or she must choose to accept the supervisor’s tasks. To do so, the delegate will click the Take Over button:
Once accepted, delegates have the choice of working on their own items, on items on behalf of the other supervisor, or all items:
After choosing “Items on Behalf” or “All Items” the supervisor’s tasks will show in the Universal Worklist, and the delegate can proceed with these items.
